1. Who We Are

AvioBase is operated by Amelia Aerospace Company (Business ID 3300539-3, Finland). We run an online marketplace that connects aircraft owners with licensed pilots for general aviation rental. By using AvioBase, you agree to these Terms.

2. Our Role

AvioBase operates as an online marketplace and is the deemed supplier for VAT purposes under EU marketplace regulations. We facilitate the rental agreement between aircraft owners and pilots by providing the platform, processing payments, and enabling communication between parties. While the underlying rental agreement is between the aircraft owner and the renting pilot, AvioBase acts as the merchant of record for payment purposes and collects and remits applicable taxes in accordance with EU VAT rules. AvioBase is not responsible for the airworthiness of any aircraft listed on the platform, nor for the qualifications or conduct of any user.

3. Owner Responsibilities

Aircraft owners are responsible for the following before each rental:

  • Ensuring the aircraft holds a valid Certificate of Airworthiness and a current maintenance release.
  • Ensuring the aircraft is airworthy, properly maintained, and compliant with all applicable aviation regulations.
  • Independently verifying the renting pilot's licences, ratings, type or class rating for the specific aircraft, and medical certificates before handing over the aircraft. AvioBase's credential collection process does not substitute for this verification.
  • Ensuring the aircraft is covered by a valid hull and third-party liability insurance policy that explicitly permits rental to third parties, and that meets the minimum requirements of EU Regulation 785/2004.

4. Pilot Responsibilities

Pilots are responsible for the following:

  • Holding a valid pilot licence, appropriate class or type rating for the specific aircraft being rented, a current medical certificate, and any additional ratings or endorsements required by applicable regulations.
  • Ensuring their licence is recognised and valid in the country where the flight takes place. Pilots operating in non-EASA jurisdictions (for example, the United Kingdom post-Brexit) are responsible for confirming licence validity and any local validation requirements before flight.
  • Holding any insurance required by law or by the aircraft owner in addition to the owner's policy.
  • Conducting a pre-flight inspection before each flight and satisfying themselves that the aircraft is airworthy — regardless of the owner's maintenance obligations.
  • All operational decisions, including flight planning, weather assessment, fuel planning, and compliance with airspace rules and NOTAMs, are solely the pilot's responsibility. AvioBase does not provide flight planning, weather briefings, NOTAM services, or ATC services.

5. Payments & Fees

AvioBase charges a service fee of 15% on each rental. The fee is calculated on the pre-VAT rental amount listed by the owner. VAT is then applied to the combined total of the rental amount and the platform fee, at the rate applicable to the country where the aircraft is physically made available to the pilot.

Payment is processed immediately when the pilot confirms a booking. The rental amount, less the AvioBase service fee, is released to the owner within 48 hours of the rental being confirmed as completed by the owner. Refunds arising from cancellations or settlement adjustments are processed within 5–10 business days.

6. Cancellation

Refunds on cancellation are governed by the cancellation policy selected by the owner, shown on each listing. The three available policies are:

The AvioBase platform fee is non-refundable once the applicable free cancellation window has passed.

Always free — regardless of policy:

  • Owner cancels (the pilot is never charged).
  • Pilot cancels due to weather conditions preventing safe flight.
  • Pilot cancels due to aircraft condition or a maintenance issue identified before departure.

Time-based policy always applies (no exception):

  • Change of plans.
  • Schedule conflict.
  • Any other reason not listed above.

7. Verification

AvioBase requires pilots to upload copies of their licence, ratings, and medical certificate as a condition of platform access. However, AvioBase does not actively validate uploaded documents with the issuing authority and cannot guarantee the accuracy or currency of user-submitted information. Both owners and pilots are each independently responsible for verifying the credentials, insurance, and suitability of the other party before entering into a rental agreement. The platform's credential collection process is a facilitation tool, not a guarantee of qualification.

8. Prohibited Uses

You may not use AvioBase to:

  • Provide false or misleading information about yourself, your aircraft, or your credentials.
  • List or rent aircraft without the legal right to do so.
  • Arrange transactions outside the platform in order to circumvent service fees.
  • Arrange or advertise wet lease arrangements (i.e. aircraft rental with a pilot provided), which are not permitted on the platform.
  • Engage in any unlawful, harmful, or fraudulent activity.

We reserve the right to suspend or remove accounts that violate these rules.

9. Limitation of Liability

AvioBase provides the platform on an as-is basis. We are not liable for any loss, injury, death, or property damage arising from a rental, including any loss resulting from the condition of an aircraft or the actions of an owner or pilot. Our total liability for any claim relating to the platform is limited to the fees you paid to AvioBase in the 12 months before the event giving rise to the claim.

Nothing in these Terms limits liability for death or personal injury caused by our own negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded under Finnish law or applicable mandatory consumer protection law.

10. Privacy

We handle your personal data in accordance with our Privacy Policy and applicable data protection law, including the GDPR. You can request a data export or deletion at any time via Settings.

11. Governing Law

These Terms are governed by Finnish law. Disputes are subject to the exclusive jurisdiction of the District Court of Helsinki (Helsingin käräjäoikeus), without prejudice to any mandatory consumer protection rights you have under the law of your country of residence.
